๐ Every Odoo implementation eventually meets the clipboard.
The intake sheet at the care home. The delivery note the subcontractor signs. The temperature log next to the wash-down line. Everyone agrees it should be digital. It's still on paper.
Not because nobody tried. Because paper quietly wins on four things:
- It works with no connection.
- It works with no login.
- It works with gloves, dust and wet hands.
- It gets a signature from someone who will never be a user in your system.
๐ The cost isn't the paper. It's the shift after the shift.
Someone types it all in later. Same data, twice, a day late โ and by the time it reaches Odoo, the record can't answer the question anyone actually asks: what happened on site, and what does it mean for this order, this ticket, this patient, this inspection?
That's the part worth removing.
๐งญ Where paper still holds out
If you recognise your own operation here, you're not behind โ these are simply the hardest settings to digitise:
- ๐ง Field service & installation โ offline sites, customer signature on the spot
- ๐ฆ Warehouse & production โ clipboards re-typed at end of shift
- ๐ฅ Healthcare intake & care homes โ consent, medication rounds, incident reports, high staff rotation
- ๐๏ธ Construction inspections โ safety checks, delivery notes, sign-offs by people who aren't your employees
- ๐พ Agriculture & food processing โ hygiene and temperature logs in wash-down environments
- ๐ Schools & childcare โ permission and allergy slips signed by parents with no account
One constraint runs through all of them: the person filling it in isn't an employee, has no login, and is somewhere with poor connectivity.
โ๏ธ Path one: make the digital form fit the situation
A form that replaces paper has to be usable by someone with no account, on their own phone, in one hand. Nova Forms publishes the same form definition to the Odoo backend, the website, the customer portal and embedded on any page โ public where it needs to be public, authenticated where it needs to be authenticated. Signature capture, photos, conditional logic and validation come from the SurveyJS engine underneath, so the form can be strict without being long.
๐ธ Path two: keep the paper, skip the typing
Some forms stay on paper โ legally, practically, or because the crew won't change this quarter. Fine. Photograph it, or drop in the scanned PDF, and Nova Forms AI extracts the fields into a clean Odoo record, with the original photo or PDF attached to it for audit.
No re-typing shift. The paper stays in the process; the data still lands in Odoo.
๐ฏ Both paths end in the same place
That's the whole point. Not "a form tool" next to Odoo, but form data that arrives as records โ linked to the partner, the order, the ticket, the project โ where your automations and reports already live.
๐ง And your data stays where you decide
Extraction runs on the model you pick: Mistral (EU), Anthropic, OpenAI, Ollama on your own hardware, or any OpenAI-compatible endpoint. For a care home or a construction firm with a works council to answer to, that choice isn't a detail.

Tell us what's on the clipboard โ a 20-minute look at the actual form is usually enough to say whether it's a digital form, an extraction job, or both.
